Marketing Coordinator

The Marketing Coordinator reports to the Proposal Manager or the Project Development Director as assigned by the Regional Director. The Marketing Coordinator Position is the stepping stone to the Proposal Manager position.

A partial list of the primary tasks/responsibilities of the Marketing Coordinator include:
   
   a. Department Responsibilities

  • Maintains customer relationship and project information databases
  • Maintains Hensel Phelps’ Brand consistency 
  • Prepares Social Media posts, website administration & Batterboard Articles 
  • Prepares marketing materials (displays, brochures, etc.) 
  • Participates in special Project Development committees or task forces as assigned by the PDD
  • Manages all project development assets (e.g. photos, reference letters, project descriptions, and project facts) 
  • Maintains all project development peripherals and historical proposal information 

   b. Opportunity Management

  • Checks websites for solicitations and updates
  • Implements Win-Plan or strategy with Proposal Manager and or the Procurement Champion
  • Develops the parts and pieces of proposals 
  • Develops outline for proposal including layout, covers, tabs, etc. 
  • Develops RFQ/RFP responsibility/compliance matrix 
  • Responsible for reference verifications 
  • Develops past project and proposed staff matrices based on relevant criteria 
  • Prepares Data Sheets 
  • Prepares Resumes
  • Assists in coordinating narratives 
  • RFP/RFQ production, shipping, and delivery 
  • Collaborates with consultants and Design-Build partners 
  • Develops templates for subcontractor/sub consultant qualifications
  • Prepares Pre-Qualification Packages 

   c. Industry and Outreach

  • Prepares Industry and Outreach materials as assigned 
  • Prepares Advertisements as assigned 
  • Prepares Award submittals as assigned 
  • Other responsibilities as assigned by the Project Development Director, Proposal Manager, or Regional Director

Preferred qualifications:

  • 1 to 3 years of experience and a working knowledge of the A/E/C industry is a plus
  • Experience in proposal production
  • Self-starter with proactive problem-solving capabilities 
  • Ability to prioritize tasks when faced with multiple deadlines 
  • Excellent organizational skills and attention to detail 
  • Strong creative graphic layout capability 
  • Strong writing, editing and verbal communication skills 
  • Advanced user of Microsoft Office Suite (Word, PowerPoint, Excel & Outlook) 
  • Knowledge / Ingenuity of Adobe Creative Suite (InDesign, Photoshop & Illustrator); Proficiency in Adobe Acrobat 
  • Proficient in BlueBeam
  • Experience in Database Applications (Microsoft Dynamics CRM)
  • Knowledge of both private and federal procurement requirements and regulations a plus
  • 4 year degree in Journalism, Communications, Marketing, English or related?
